BACKGROUND

The Tobacco Industry Marketing Board (TIMB) is seeking to engage the services of a Property Manager with requisite experience and qualifications to assist with the management and maintenance of TIMB building properties.

1. OBJECTIVES

The primary objective of this request for proposal is to engage Property Management services firm to manage TIMB property. The property is located at 429 Gleneagles Road, Southerton, Harare.

2. SCOPE OF SERVICES

The services required cover the following:

• Letting
• Rent collection
• Arrears management
• Record Management
• Drawing up lease agreements
• Lease audits
• Property inspections
• Portfolio Appraisals and Analysis
• Periodic Reports and any other reports as and when required by TIMB
• Repairs and Maintenance of properties including submissions of property inspection reports
• General management duties

EXPECTED OUTPUTS

• Monthly and quarterly report
• Bi-Annual inspections
• Improved rentals management and building maintenance
• Reduction of rental arrears
• Efficient rental collection

TECHNICAL PROPOSAL

• Specific experience in similar assignments, together with names and contact details of referees.
• Technical capacity of property consultants in terms of their qualifications and competencies for the assignment. Please attach a detailed CVs.
• Clear understanding of the assignment.

FINANCIAL PROPOSAL

• Quotation to be priced using percentages of rent collected for the month.

DURATION

The services will be provided for a period of one year.

SUBMISSION OF PROPOSAL TO OFFER SERVICES

• The organization detailed profile.
• A listing of organizations where similar services were done.
• 3 traceable signed references.
• CV’s of key personnel in the firm.

PROPOSAL SUBMISSION

Completed proposals including all the requirements and details specified should uploaded on the EGP Portal

In the event of a tie (percentage charged), the organization with greater experience will be used as the basis for the award with reference to the organization profile.
